Privacy Statement
This statement explains how we collect, use, store, and disclose personal information through our Applicant Tracking System (ATS) in compliance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
Collection of Personal Information
We collect personal information necessary for recruitment and selection purposes, including:
a) Name, contact details, and address;
b) Employment history, qualifications, and referees; and
c) Sensitive information (e.g., health or criminal history) only where required and with consent.
Collection occurs directly from you via the ATS or indirectly from referees or recruitment agencies. We will only collect information by lawful and fair means and not in an unreasonably intrusive way (APP 3).
Use and Disclosure
Your personal information will be used solely for:
a) Assessing your suitability for employment;
b) Conducting reference checks and pre-employment screening; and
c) Complying with legal obligations.
We will not use or disclose your information for secondary purposes without your consent, unless permitted by law (APP 6). If disclosure to third parties (e.g., background check providers) is required, we will obtain your consent.
Data Storage and Security
We take reasonable steps to protect your personal information from misuse, interference, loss, unauthorised access, modification, or disclosure. Measures include:
a) Secure servers and encrypted data transmission;
b) Role-based access controls; and
c) Regular security audits (APP 11).
Overseas Disclosure
If personal information is disclosed to overseas recipients (e.g., cloud hosting providers), we will ensure compliance with APP 8 by taking reasonable steps to ensure those recipients adhere to equivalent privacy standards.
Access and Correction
You have the right to access and correct your personal information held in the ATS. Requests can be made by contacting our Privacy Officer. We will respond within a reasonable timeframe (APP 12 & 13).
Retention and Disposal
Personal information will be retained only as long as necessary for recruitment purposes or as required by law. When no longer needed, it will be securely destroyed or de-identified.
Complaints
If you believe we have breached the APPs, you may lodge a complaint with our Privacy Officer. If unresolved, you can contact the Office of the Australian Information Commissioner (OAIC).
